Electronic Filing
Jurnal Pengembangan Penyuluhan Pertanian (JP3) uses an electronic submission system to receive manuscripts and manage editorial communications. Authors are required to register or log in to the journal website to submit manuscripts online and monitor the status of their submissions. Please access the official JP3 website and follow the journal's current submission instructions. The journal's electronic filing procedures are designed to support the well-managed editorial infrastructure recommended by the COPE Core Practices, particularly Journal Management.
1. Electronic Submission
Authors must submit manuscripts through the journal's official online submission system unless the editorial office explicitly authorizes an alternative procedure. Authors should complete the required submission fields, provide accurate metadata, and upload the manuscript and all required supporting documents. This approach reflects COPE's guidance that electronic submission systems should collect the information necessary for editorial processing while avoiding unnecessarily complicated requirements, as discussed in COPE's A Short Guide to Ethical Editing for New Editors.
2. Manuscript Files and Supporting Documents
Authors must upload manuscripts in the file format and structure specified in the current JP3 Author Guidelines. Tables, figures, supplementary materials, ethical approval documents, permissions, and declarations must be provided when required by the manuscript type or the journal's policies. The journal may return submissions that do not comply with its formatting and documentation requirements before peer review. See the JP3 official website and the COPE Core Practices on Journal Management and Ethical Oversight.
3. Accuracy of Submission Information
Authors must ensure that the manuscript title, author names, affiliations, corresponding author details, abstract, keywords, funding information, and other metadata entered into the submission system accurately match the submitted documents. All authors must be informed of the submission and must agree to the submitted author list and manuscript version. Transparent authorship and contributorship policies are recommended by the COPE guidance on Authorship and Contributorship.
4. Originality and Ethical Compliance
By submitting a manuscript, authors confirm that the work is original, that its content is represented accurately, and that any previously published or overlapping material is disclosed to the editor. Authors must provide appropriate citations and permissions and disclose relevant competing interests, funding sources, and research ethics information. These requirements are consistent with the COPE Core Practices on Intellectual Property, Authorship and Contributorship, Conflicts of Interest/Competing Interests, and Ethical Oversight.
5. Confidentiality and Data Protection
Manuscripts, supplementary files, reviewer reports, and editorial correspondence must be handled confidentially and accessed only by individuals authorized to participate in the editorial process. Personal information collected through the submission system must be handled in accordance with the journal's Privacy Statement. The journal's approach to confidentiality and ethical handling of research information is informed by the COPE Core Practices on Ethical Oversight and Peer Review Processes.
6. Editorial Screening and Peer Review
After electronic submission, the editorial office may check the manuscript's completeness, scope, formatting, originality, and compliance with the journal's submission requirements. Manuscripts that satisfy the initial requirements may proceed to peer review in accordance with the journal's applicable review procedures. The journal should clearly describe and consistently manage its review process, as recommended by the COPE resources on Peer Review and the COPE Core Practices.
7. Revision and Resubmission
When revisions are requested, authors must upload the revised manuscript through the submission system and provide a point-by-point response to the editor's and reviewers' comments, where applicable. Revised files should be clearly identified and must not contain undisclosed changes to authorship or other material declarations. Editorial communication and revision procedures should be managed transparently in accordance with the journal's review policy and the COPE Core Practices on Peer Review Processes and Journal Management.
8. File Integrity and Version Control
Authors are responsible for uploading complete, readable, and accurate files and for checking that the submitted documents correspond to the intended manuscript version. The editorial office should maintain appropriate submission records and distinguish original submissions, revised manuscripts, accepted versions, and production files. Well-defined editorial procedures and supporting systems are consistent with the COPE Core Practices on Journal Management.
9. Editorial Records and Retention
The journal should maintain appropriate records of submissions, editorial decisions, peer review, revisions, and relevant correspondence for as long as required by its operational, institutional, and legal obligations. Access to these records should be limited to authorized personnel, and retention practices should be consistent with applicable privacy and record-management requirements. These procedures support the well-managed editorial infrastructure described in the COPE Core Practices on Journal Management.
10. Technical Problems and Alternative Submission Arrangements
If authors experience technical difficulties with the submission system, they should contact the journal's editorial office using the contact information provided on the official JP3 website. Alternative submission methods may be used only when authorized by the editorial office, and the journal should ensure that any alternative process preserves appropriate documentation, confidentiality, and editorial accountability. This approach is consistent with the COPE guidance on effective journal management and electronic submission procedures.
11. Final Responsibility
Authors are responsible for ensuring that all submitted information and files are accurate, complete, and compliant with the current JP3 submission requirements. The journal may request clarification or additional documents when necessary and may return submissions that do not satisfy its requirements. The electronic filing policy should be implemented consistently with the journal's published instructions and the COPE Core Practices.
Policy Note
This Electronic Filing policy is a journal-specific operational policy informed by COPE's publication ethics guidance. COPE provides principles and recommendations for responsible journal management rather than a single mandatory electronic filing procedure for every journal. JP3 should periodically review this policy to ensure that it accurately reflects the journal's actual submission platform, document requirements, privacy practices, and editorial workflow.
